What we do with your details, in plain words.
The quote tool promises that your details are used to prepare your quote and nothing else. This page is that promise written out properly, so you can hold us to it.
The short version
Your details are used to prepare your quote and to do the work. They are not sold, and they are not passed to lead brokers or other installers.
Accreditation marks and review scores are added here once verified.
Who is responsible for your information.
Pro-Fit Green Energy Ltd is the data controller. That means we decide what is collected and why, and we are the people you complain to if we get it wrong.

What the quote tool collects.
The quote tool asks six questions about your property, then your postcode, then shows you a price. Only after the price is on screen does it ask for a way to contact you.
- Property answersProperty type, number of floors, roof aspect, shading, roughly what you spend on electricity each month, and what you are after. None of these identify you.
- PostcodeUsed to check you are inside the area our own teams cover, and to sense check the price.
- Email addressSo that the surveyor can send you the itemised breakdown behind the figure you were shown, and confirm your visit. See the note below on what currently happens to a completed quote.
- Telephone numberSo a surveyor can call to arrange a visit. This step can be skipped.
You see your price before you are asked for an email address or a phone number. That order is deliberate. It means you can use the tool, take the number away and never tell us who you are.
What the website itself collects.
Very little, and we would rather say so than pad this page out.
- Server logsOur hosting provider records the usual technical information when a page is served, including the requesting IP address, the page requested and the browser used. This is how any website stays up and stays secure.
- AnalyticsNone at the time of writing. We set no analytics or advertising cookies. See the cookies page for the detail.
- Local storageYour progress through the quote tool is saved in your own browser for seven days, so you can come back to a part-finished quote. It is not sent to us.
At the time of writing, the quote tool is not yet connected to a system that receives finished enquiries, so nothing you type into it is transmitted anywhere. Your answers sit in your own browser under a single saved item, they expire after seven days, and they are deleted the moment you reach the end of the quote. When that connection is made, this page will name the supplier that receives your enquiry and the country it processes in, before the change goes live.
Why we are allowed to hold it.
UK GDPR asks us to name a lawful basis for each thing we do. There are two.

Legitimate interests, for answering you
If you ask us for a price, we have a legitimate interest in preparing one and getting back to you. That covers the quote, the survey booking, and the work of designing and installing a system if you go ahead. Where a contract follows, we then hold what we need to perform it and to meet our legal obligations.

Consent, for anything that is marketing
Sending you offers, news or a reminder that the VAT relief is ending is marketing, and marketing needs your consent. You give it separately, you are never opted in by default, and you can withdraw it at any time without it affecting a quote or an installation.
What we do not do with it.
This is the part most privacy policies leave vague, so we will be blunt about it.

We do not sell your details Not to anyone, for any price, at any point. There is no version of our business where your postcode and phone number are a product.

We do not pass you to lead brokers Enquiries submitted here are not sold on to lead generation companies, comparison sites or other installers. If you fill in our quote tool, the only company that rings you about it is ours.

We do not add you to a marketing list by stealth Asking for a price is not consent to be marketed to. Those are two separate decisions and we treat them that way.

We do not profile you or make automated decisions about you The price the tool shows is arithmetic on the answers you gave. There is no scoring of you as a customer, and no decision with a legal or similarly significant effect is made about you by a machine.
Who does see it.
A short list, and each entry has a reason attached.
- Our own staffThe office team who book surveys, the surveyor who visits, and the installation team who do the work.
- A surveyorYour address and your answers, so the visit is useful. Surveyors are our own people, not a subcontracted sales force.
- A finance brokerOnly if you ask us about finance, and only what an application needs. If you never raise finance, no broker ever sees your details.
- Your Distribution Network OperatorFor a job that proceeds. Connecting generation or storage to the grid has to be notified, and that notification carries your address and the system details.
- The MCS registration databaseFor a job that proceeds, so your installation can be registered and certificated. This is what your energy supplier later asks to see when you apply for export payments.
- Our professional advisersAccountants, insurers and, if it ever came to it, lawyers. Only where there is a genuine need.
- Where the law requires itHMRC, a regulator, or a court order.
How long we keep it.
Holding information forever because it might be useful one day is not a reason, so each category has an end date.

Each period above is the point at which we delete or anonymise that category, unless the law obliges us to keep it for longer. If you ask us to remove something sooner, we will say yes or explain exactly which rule stops us.
Your rights, and how to use them.
Under UK GDPR you have rights over the information we hold about you. You do not need a reason and you do not need to be polite about it.
- AccessAsk for a copy of what we hold about you.
- RectificationHave anything wrong corrected.
- ErasureAsk us to delete it, unless we are required to keep it, for example accounting or certification records.
- RestrictionAsk us to stop using it while a dispute about it is sorted out.
- ObjectionObject to our use of legitimate interests. If you object to marketing, we stop, with no balancing test and no argument.
- PortabilityReceive the details you gave us in a machine readable form.
- Withdraw consentAt any time, for anything we do on the basis of consent.
Write to us at the registered office above or use the privacy contact once it is published, and we will respond within one month. There is no charge.
Complaining to the regulator
If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office, the UK regulator for data protection. You can reach the ICO on 0303 123 1113 or at ico.org.uk/make-a-complaint. We would rather you came to us first, but that is your choice and not a condition.
Quote progress saved in your browser.
When you start the quote tool, your answers so far are written into your own browser's local storage under the name pf-quote-v1. That is what lets you close the tab, come back and pick up where you left off.
- Where it livesOn your device, in your browser. It is not transmitted to us and we cannot read it.
- How longSeven days. After that the tool discards it and starts fresh.
- When it goes soonerAs soon as you finish the quote, it is deleted.
- How to clear it yourselfClear site data for this site in your browser settings, or open the page in a private window so nothing is kept at all.
This is not a cookie, and it is not tracking. The cookies page explains the difference and why you are not being shown a consent banner.
Changes to this policy.
If we start using analytics, add a customer portal or change who processes your information, this page changes first and the date below moves. We do not make a change quietly and hope nobody reads it.
